Somerset Bowls Association Job Description  -  Logistics Manager

 

Purpose of the Job:

  To schedule and locate all events, on and off the green

 

Expenses:         

  Fixed amount payable per annum (as agreed by the SBA Executive Board (EB)) to cover travel

  Other expenses payable, to a ceiling agreed by SBA EB and verified by receipts

 

Reports to:

  General Secretary

 

Jobholder’s Team:

  Assistants for some or all of the main activities, in particular:

o   Presentations’ Secretary

o   Greens’ Advisor

 

Main Responsibilities:

  Developing, maintaining and rolling forward a calendar of all events, particularly those listed in the Appendix, taking account of World Bowls, Bowls England, and South Western Counties diaries

  Ensuring the greens of the county are fit for the purpose, and in particular arranging suitable venues to stage the scheduled events

  Communicating the calendar (with venues) unambiguously to all Executive Board members

  Ensuring relevant Presidential attendance

  Responding imaginatively to external changes to event schedules and venue suitability

  Arranging (an) Annual Celebration event(s) for the presentations of Bowls England to the bowlers of Somerset and of prizes to prizewinners

  Maintaining a record of any business conducted by logistics committees

  Gaining EB ratification for any assistants appointed, and managing, developing and co-ordinating them to support the jobholder in discharging these responsibilities

  Consulting widely to generate ideas and plans for development

  Managing these responsibilities within the budget set by the EB

  Reporting quarterly to the EB and annually to the Communications Meeting (each April), Council Meeting (each October) and AGM (each November)

 

Measures of annual success:

  Minimal incidence of clashes of key events

  Number of Tributes per Complaint

  Income and expenditure against budget

  Number of new ideas

  Attendances at meetings

 

 

Other close working relationships with:

  Competition Secretary – who will require dates and venues for competitions

  League Secretary – who will require league dates

  Match Secretary – with whom suitable dates and venues will have to be agreed

  Club Officers, with regard to arranging venues

  Presidents, to ensure their attendance at key events.

 

Other important relationships with:

  Marketing Manager (or their Web Site Manager) to keep up-to-date calendar of future events on the web.

  National and County competitions (administered by the Competition Secretary) and leagues (administered by the League Secretary)

  National and Inter County competitions (administered by Bowls England)

  Match programme (for Friendly, Executive and Presidential matches)

  Annual and Special General Meetings and Celebratory events of the association

  EB and Council Meetings
